How Venue Vault collects, uses, shares, and safeguards the information you provide across our concierge, booking, and event coordination services.

Venue Vault may collect information that users voluntarily provide through inquiries, bookings, consultations, communications, walkthrough requests, payment submissions, or other interactions with our platform.

Certain information may only be collected where reasonably necessary to coordinate events, process payments, improve services, comply with legal obligations, or support Venue Vault business operations.

03.Payment Processing

Venue Vault may utilize third-party payment processors including Stripe and other financial service providers to process payments, invoices, deposits, refunds, or transfers.

Venue Vault may not directly store complete payment card information where third-party processors are utilized.

Payment processors and financial platforms may maintain their own privacy practices and operational policies independent of Venue Vault.

04.Marketing Communications & Contact Consent

By submitting forms, inquiries, booking requests, or communications through Venue Vault, users consent to receiving communications related to:

  • Booking coordination
  • Event planning
  • Venue and vendor recommendations
  • Follow-up communications
  • Promotional offers or updates
  • Service-related notifications
  • Email communications
  • SMS/text messages
  • Phone calls from Venue Vault representatives or concierges

Users may opt out of promotional or marketing communications where legally required or made available. However, Venue Vault may continue to send operational, booking-related, transactional, legal, or safety-related communications where reasonably necessary.

05.Cookies, Analytics & Tracking Technologies

Venue Vault may utilize cookies, tracking technologies, analytics services, CRM systems, advertising tools, pixels, and automation technologies to improve website functionality, analyze traffic, optimize marketing performance, improve operational efficiency, and enhance customer experiences.

This may include technologies or services such as:

  • Google Analytics
  • Meta/Facebook Pixel
  • TikTok Pixel
  • CRM systems
  • Retargeting technologies
  • Marketing automation tools

Venue Vault may implement cookie consent banners or consent-management tools where reasonably appropriate or legally required.

06.Information Sharing

Venue Vault may share information with participating venues, vendors, planners, security providers, contractors, operational partners, payment processors, software providers, or service providers where reasonably necessary to coordinate bookings, provide requested services, process payments, improve operations, or support legitimate business functions.

Venue Vault does not sell personal information in a manner inconsistent with applicable law.

07.Event Media & Promotional Content

Venue Vault may utilize event-related photographs, videos, testimonials, social media content, venue imagery, or promotional media for marketing, branding, SEO, advertising, portfolio, or business purposes unless otherwise prohibited by written agreement or specific client request.

Publicly shared event content or content voluntarily submitted to Venue Vault may potentially be used in Venue Vault promotional materials.

08.Data Security

Venue Vault attempts to implement commercially reasonable safeguards intended to protect collected information and operational systems.

However, no website, cloud platform, database, communication method, or electronic transmission system can guarantee absolute security. Accordingly, Venue Vault cannot guarantee complete protection against cybersecurity incidents, unauthorized access, hacking, operational failures, or data breaches.

09.California Privacy Rights

Venue Vault intends to operate in compliance with applicable California privacy laws, including the California Consumer Privacy Act (CCPA) where applicable.

Subject to verification requirements and legal limitations, users may request:

  • Access to certain personal information
  • Correction of certain information
  • Deletion of eligible information
  • Information regarding categories of collected data

Venue Vault reserves the right to retain information reasonably necessary for legal compliance, accounting obligations, fraud prevention, dispute resolution, operational recordkeeping, tax reporting, or enforcement of agreements.

10.Data Retention

Venue Vault may retain invoices, contracts, communications, payment records, booking history, dispute records, operational records, marketing records, and related information for as long as reasonably necessary to support legitimate business purposes, operational needs, legal obligations, accounting requirements, dispute resolution, security purposes, or contractual enforcement.

Retention periods may vary depending on operational circumstances and applicable legal requirements.

11.Third-Party Platforms & Services

Venue Vault may utilize third-party platforms and providers including payment processors, hosting providers, CRM systems, communication platforms, analytics services, automation tools, software providers, and partner-operated systems.

These third-party services may maintain independent privacy policies and operational practices beyond Venue Vault's direct control.

12.Children's Privacy

Venue Vault services are not intended for individuals under eighteen (18) years of age.

Venue Vault does not knowingly collect personal information from children under applicable age restrictions. If improperly collected information involving minors is identified, Venue Vault reserves the right to remove such information where reasonably practicable.

13.International & Regional Use

Venue Vault services are currently intended primarily for users located within the United States, particularly California markets.

Users accessing Venue Vault services from outside the United States acknowledge that information may be processed, stored, or managed within the United States in accordance with applicable business operations and legal requirements.

14.AI, Automation & Operational Technologies

Venue Vault may utilize automation systems, AI-assisted technologies, scheduling systems, recommendation engines, CRM automations, communication systems, or operational software tools to improve booking coordination, customer support, operational efficiency, marketing performance, or event planning services.

15.Changes To This Privacy Policy

Venue Vault reserves the right to modify, update, revise, or replace this Privacy Policy at any time.

Updated versions may be posted on the Venue Vault website or policy pages and may become effective upon posting unless otherwise stated.

Continued use of Venue Vault services following updates constitutes acceptance of the revised Privacy Policy.
